Why should you read this document?

During your dealings with us, we may ask for detailed personal information related to your current circumstances, financial situation, and in some cases, health and family health history. This document explains how we handle Your Personal Data and outlines your rights.

What do we mean by “Your Personal Data”?

Your Personal Data includes information that identifies you directly (e.g., name, address, date of birth) or indirectly (e.g., employment status, health history, or cultural background).

This may include:

  • Name, DOB, contact details, ID verification documents
  • Employment, income, bonuses, and employment history
  • Bank details, loans, credit history, dependents
  • Health data, treatment history, prognosis
  • Existing mortgage, investment, insurance product details

How We Use Your Data

We use your data to provide investment, pension, mortgage, finance, or insurance services under a contractual obligation, or for our legitimate business interests when applicable.

We may also process your data to comply with legal or regulatory obligations, including requirements from the Financial Conduct Authority (FCA).

Processing of Special Category and Criminal Disclosure Data

When assisting you with insurance (e.g., life or accident), we may collect Special Data (e.g., health status, ethnicity) and Criminal Disclosures. This information helps ensure appropriate product recommendations.

We may also collect data on children under 18 if relevant, with the same level of protection.

How We Collect Your Data

We primarily collect data directly from you during meetings, calls, or via email. In some cases, we may gather data from third parties like credit agencies or employers, and with your consent, use technology-based verifications.

What Happens After We Receive Your Data?

  • We securely store it on devices, cloud systems, and paper files.
  • We submit it to product or insurance providers using secure methods.
  • We use it for servicing your ongoing or future inquiries.

Sharing Your Data

We may share your data with investment/mortgage/insurance providers, legal advisers, estate agents, and service specialists. Data is only shared when required to support your service needs.

Data may also be accessed by WIS team members in Sri Lanka for service purposes. If transferred outside the EEA, it is handled under GDPR-compliant safeguards.

Data Security and Retention

Your data is protected in line with legal requirements. We ask you to take precautions too (e.g., use encryption, password-protect attachments). Data is stored for at least 6 years, or longer if required.

Your Rights

You have the right to:

  • Request copies of your data
  • Ask how your data is used
  • Request corrections or deletion of data
  • Request transfer of your data to another provider
  • Withdraw marketing consent at any time
